Privacy policy

Your privacy matters. This policy explains how NotaryPal collects, uses, stores, and protects your personal information when you use our notary booking platform.

1. Information we collect

When you use NotaryPal, we collect information you provide directly — including your name, email address, phone number, location, and document details when you make a booking. We also automatically collect usage data such as your IP address, browser type, device information, pages visited, and interaction patterns through cookies and analytics tools. If you create an account, we store your booking history and preferences to improve future visits.

2. How we use your information

Your information is used to: process and manage your notary bookings; match you with available notaries and commissioners of oaths in your area; communicate appointment details, reminders, and status updates; calculate accurate pricing including provincial taxes (GST, HST, PST); improve our platform, user experience, and search algorithms; comply with Canadian legal and regulatory obligations; and send service-related notifications. We do not use your information for unrelated marketing without your explicit consent.

3. Information sharing

We share your booking details (name, contact information, document type, and appointment details) with the notary or commissioner of oaths you select so they can provide their services. We do not sell, rent, or trade your personal information to third parties for marketing purposes. We may share anonymized, aggregated data for analytics. We may disclose information when required by Canadian law, court order, or to protect the rights, property, or safety of NotaryPal, our users, or the public.

4. Payment information

Payment processing is handled by PCI DSS Level 1 compliant payment processors. NotaryPal does not store, process, or have access to your full credit card number, CVV, or other sensitive payment credentials. All payment transactions are encrypted using industry-standard 256-bit SSL/TLS encryption.

5. Data security

We implement industry-standard security measures to protect your personal information, including: 256-bit SSL/TLS encryption for all data in transit; encrypted data storage at rest; regular security audits and vulnerability assessments; role-based access controls limiting employee access to personal data; and secure cloud infrastructure hosted in Canada. While no system is completely secure, we are committed to protecting your information using commercially reasonable safeguards.

6. Your rights under Canadian law

Under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation (including Alberta's PIPA, British Columbia's PIPA, and Quebec's Law 25), you have the right to: access your personal information held by NotaryPal; request corrections to inaccurate or incomplete data; withdraw your consent for data collection and use (subject to legal or contractual restrictions); request deletion of your account and associated data; and file a complaint with the Office of the Privacy Commissioner of Canada. 7. Cookies and tracking

We use three categories of cookies: essential cookies required for the platform to function (session management, security tokens); analytics cookies to understand usage patterns and improve our service (page views, booking funnel performance); and preference cookies to remember your settings (location, language). You can manage cookie preferences through your browser settings. Disabling essential cookies may prevent certain features from working correctly.

8. Data retention

We retain your personal information for as long as your account is active or as needed to provide services. Booking records and transaction history are kept for seven years to comply with Canadian tax and legal requirements. Server logs are retained for 90 days. You may request deletion of your account and data at any time by contacting [email protected], subject to mandatory legal retention periods.

9. Third-party services

NotaryPal uses select third-party services to operate the platform, including: cloud hosting and infrastructure providers; payment processors; email delivery services; mapping and geolocation services; and analytics tools. Each third-party service provider is contractually required to protect your data in accordance with Canadian privacy law and our own data protection standards.

10. Children's privacy

NotaryPal is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected data from a minor, we will promptly delete it.

11. Changes to this policy

We may update this privacy policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date and, where appropriate, by email. Your continued use of NotaryPal after changes are posted constitutes acceptance of the updated policy.
